Connect and set up

Before you start

  • You're the AdaptClose account owner. Only the owner sees Account > Integrations.
  • You can sign in to the HighLevel sub-account you want to connect, as a user allowed to install apps there.
  • Your team's HighLevel users use the same email or phone as their AdaptClose accounts. That's how AdaptClose matches them automatically. You can also link people by hand later.
  • Call recording is on in HighLevel, if you plan to grade HighLevel calls. AdaptClose grades recordings HighLevel already made. It doesn't record calls itself.

Connect

  1. In the AdaptClose web app, go to Account > Integrations.
  2. Click HighLevel. If your agency runs HighLevel under its own brand, click HighLevel (white label) instead.
  3. Sign in to HighLevel and choose the sub-account to connect. AdaptClose connects one sub-account. An agency-level install isn't supported.
  4. Review the permissions HighLevel lists, then approve. Permissions and data explains each one.
  5. You land on Set up HighLevel. Nothing syncs yet.
  6. Go through the Pull and Push tabs. What AdaptClose reads and What AdaptClose writes cover every setting.
  7. Click Turn on HighLevel sync.

Click Not now to leave sync off. The tile shows Finish setup until you confirm, and AdaptClose writes nothing to HighLevel in the meantime.

What happens when you turn sync on

  • The tile shows the connection. It reads Connected as with the HighLevel user who approved, and Sub-account with the sub-account's name.
  • Members are matched, if Automatically match members to HighLevel users is on. AdaptClose reads the sub-account's users once, links each member with the same email or phone, and sends you a notification with how many it linked.
  • AdaptClose fields are created, if Fill AdaptClose fields on the contact is on. AdaptClose adds four custom contact fields to the sub-account, unless fields with those names already exist. If HighLevel refuses, the save fails and nothing else changes.
  • Call grading starts, if Grade calls recorded in HighLevel is on. The first pull runs within 15 minutes.
  • Everything else waits for activity. Notes, tasks, tags, fields and opportunity updates happen as calls are graded and outcomes are recorded. AdaptClose doesn't go back and write anything for calls graded before you connected.

The user who connected

HighLevel ties the connection to the user who approved it. AdaptClose uses that user in two places:

  • As a fallback author. Notes and tasks for a rep who isn't linked to a HighLevel user are written as this user.
  • On the tile, as Connected as.

If that person leaves your team, reconnect as someone else, so notes aren't credited to them.

Change settings

Go to Account > Integrations and click Configure on the HighLevel tile. Change what you need and click Save changes. New settings apply from the next push, including pushes already waiting to be sent.

Disconnect

Click Disconnect on the HighLevel tile and confirm. AdaptClose then:

  • revokes its access to the sub-account,
  • stops searching contacts, writing to HighLevel, grading HighLevel calls and showing appointments,
  • forgets your settings,
  • keeps customer and member links, so reconnecting the same sub-account picks up where you left off.

Notes, tasks, tags, field values and opportunity changes already in HighLevel stay as they are. Calls already pulled stay in AdaptClose.

If HighLevel access is revoked

A HighLevel admin can uninstall the AdaptClose app from the sub-account, and the user who connected can lose access. AdaptClose notices on its next request to HighLevel. From then on it writes nothing, and people searching contacts see HighLevel needs to be reconnected. Your settings and links stay.

Reconnect

Connect again from the same tile. What happens depends on the sub-account you pick:

  • The same sub-account, after access was revoked. Settings and links stay, and AdaptClose starts writing again right away.
  • The same sub-account, after you disconnected. Customer and member links stay. You confirm your settings again, as on first connect.
  • A different sub-account. AdaptClose treats it as a new CRM. Links to the old sub-account are removed, writes still waiting for it are cancelled, and you set everything up from the start, member matching included.

While the connection is down, AdaptClose doesn't save up writes. Calls graded and outcomes recorded in the meantime aren't sent to HighLevel later. Writes that were already waiting when the connection dropped go out after you reconnect:

  • Notes and tasks are sent if their call was graded in the last 72 hours. Older ones are dropped, so a long gap doesn't flood contacts with old notes.
  • Opportunity, contact, tag and field updates are sent with the customer's current state, whatever their age.
