What AdaptClose reads

These settings are on the Pull tab of the HighLevel settings page. None of them change anything in HighLevel.

Team matching

Automatically match members to HighLevel users. On by default.

When you first turn sync on, AdaptClose reads the sub-account's users once and links each AdaptClose member to a HighLevel user:

  • By email, when the member's email matches the user's email, ignoring capital letters.
  • By phone, when the last 10 digits of the member's phone match the user's.

Members who are already linked are left alone, and a HighLevel user is never linked to two members. You get a notification saying how many members were linked and how many had no match. It runs once. It doesn't run again when you save settings later.

Off: nobody is linked automatically. Link each rep by hand.

A rep's link to a HighLevel user decides:

  • Who writes the notes. Notes and tasks from that rep's calls are written as their HighLevel user. Without a link, they're written as the user who connected HighLevel.
  • Whose contacts they search. See Customer lookups.
  • Who owns new contacts. Contacts AdaptClose creates for that rep are assigned to their HighLevel user.
  • Whose appointments they see in the AdaptClose app. See Appointments in the app.
  • Whose calls are graded. Only calls by linked users count. See Grade HighLevel calls.

Open the rep's page in AdaptClose. In the HighLevel section, search for their HighLevel user by name or email and pick them. Unlink removes the link. Notes already written keep the author they had.

Customer lookups

Contacts. On by default. HighLevel has no separate leads, so contacts are the only choice.

On: people linking a customer can search HighLevel contacts by name. That happens in three places:

  • on the customer's page in the web app, in the HighLevel section, for owners and managers,
  • when uploading a call in the web app,
  • before recording in the AdaptClose app.

Searches start at three characters. When the customer's rep is linked to a HighLevel user, the search covers only contacts assigned to that user. Otherwise it covers every contact in the sub-account.

Picking a contact links the AdaptClose customer to it. If the customer doesn't exist in AdaptClose yet, it's created from the contact. Linking writes nothing to HighLevel. Open in HighLevel on the customer's page opens the contact.

Off: nobody can search HighLevel. Customers already linked stay linked, and AdaptClose keeps writing to their contacts.

Phone calls

Grade calls recorded in HighLevel. Off by default.

On: every 15 minutes, AdaptClose pulls finished calls recorded in HighLevel and grades them with a team's playbook. You choose:

  • Team: whose playbook grades the calls. Only calls made or taken by HighLevel users linked to members of this team are pulled. Required.
  • Shortest call to grade: 1, 2, 3, 5 or 10 minutes. Shorter calls are skipped. 2 minutes by default.
  • Calls: Incoming and outgoing, Incoming only or Outgoing only.
  • Start with: shown the first time you turn this on. Calls from now on, or also the last 1, 3 or 7 days.

Each call counts toward your daily audio minutes, and team members whose calls come in are billed as seats. Grade HighLevel calls covers which calls qualify, what AdaptClose reads, and what happens next.

Off: AdaptClose doesn't read conversations or calls.
