Permissions and data
How AdaptClose connects
When you connect, Salesforce asks the user signing in to allow AdaptClose to reach their data. AdaptClose then calls the Salesforce API as that user. It gets their access and no more: their object permissions, field-level security and sharing all apply. It reaches nothing outside the one org you connect.
What AdaptClose reads and writes
| Object | Reads | Writes | What AdaptClose uses it for |
|---|---|---|---|
Contact | Id, Name, Email | Creates, setting FirstName, LastName, Email, LeadSource, Description, OwnerId | Search Contacts to link customers. Create a Contact for a new customer, when New customers is Contact. |
Lead | Id, Name, Email | Creates, setting FirstName, LastName, Email, Company, LeadSource, Description, OwnerId | Search Leads to link customers. Create a Lead for a new customer, when New customers is Lead. |
User | Id, Name, FirstName, LastName, Email, Phone, MobilePhone, IsActive | Nothing | Match members to active users, and let you link reps by hand. |
Task | Nothing | Creates, setting Subject, Description, WhoId, Status, OwnerId | Log call summaries and coaching tips as completed tasks. |
ContentNote | Nothing | Creates, setting Title, Content | Post call summaries and coaching tips as notes. |
ContentDocumentLink | Nothing | Creates, setting ContentDocumentId, LinkedEntityId, ShareType | Attach each note to its Contact or Lead. |
Opportunity | Amount, IsClosed, LastModifiedDate | Edits StageName and Amount | Show a Contact's open amount when someone picks it, find the opportunity to update, and update it. |
OpportunityContactRole | ContactId, OpportunityId | Nothing | Find the opportunities a linked Contact belongs to. |
OpportunityStage | MasterLabel, IsActive, SortOrder | Nothing | List your stages for the outcome map on the Push tab. |
| Your own user info | The username | Nothing | Show who connected on the Integrations tile. |
These are the only fields AdaptClose sets. It leaves out FirstName, Email and OwnerId when it has no value for them.
A feature you leave off never uses its access. AdaptClose doesn't touch Accounts, Cases, Events, emails, files other than its own notes, reports, flows or setup.
What the user who connects needs
- API access. The API Enabled permission.
- Read on Contacts, Leads and Opportunities, and sharing access to the records your reps work. Search only finds what this user can see.
- Field access to every field in the table above: read on the fields AdaptClose reads, and edit on the fields it sets. Field-level security applies, so a field this user can't edit makes that write fail.
- Create on Leads or Contacts, whichever New customers creates.
- Edit Tasks, for tasks. Despite its name, this is the permission that lets a user create tasks. Tasks have no separate Create setting.
- Notes turned on in the org, for notes.
- Edit on Opportunities, for deal updates.
When a task, note or opportunity update fails for lack of access, the customer's page says Last push failed. A new Lead or Contact that fails leaves the customer unlinked, with no message. See New customers.
API requests
Salesforce counts API requests per org per day, shared with every other tool connected to it. Here's what AdaptClose spends:
| What happens | Requests |
|---|---|
| A customer search | 1. Plus 1 more when uploading or recording, if the results include Contacts, to read their amounts. |
| A rep search, when linking a rep by hand | 1 |
| A task | 1 |
| A note | 2: the note, and its link to the record |
| A new Lead or Contact | 1 |
| A deal update | Up to 3: finding the opportunity, a second look for a closed one when reopening is on, and the update |
| Member matching | 1, once. It reads up to 2,000 active users. |
| Opening the Push tab with stage updates on | 1 |
Searches wait until someone stops typing, and start at three characters. Writes are paced for each account, so a backlog after a reconnect doesn't flood your org.
What AdaptClose keeps
- About the connection: the Salesforce username of the person who connected, and your settings. The access token is held by the service AdaptClose uses to connect to Salesforce, and never shown in AdaptClose.
- About links: for each linked customer, the record's Salesforce id and a link to it. For each linked member, the Salesforce user's id, name and a link to their user record.
- On customers: a customer created from a Salesforce record gets its name and email. Linking a customer with no email fills it from the record, and every link records whether the customer is a Contact or a Lead. A deal amount filled in from an opportunity is saved with the call, like any amount a rep enters.
AdaptClose doesn't copy your Contacts, Leads, opportunities or users. Searches and opportunity amounts are read from Salesforce when someone needs them, and not saved. Member matching reads your active users' emails and phone numbers to compare them, and keeps only the links it makes.
What you'll see in Salesforce
- Completed tasks and notes on linked Contacts and Leads, with subjects starting
AdaptClose. - Stage and Amount changes on linked Contacts' opportunities.
- New Leads or Contacts with the Lead Source
AdaptClose. - The user who connected as Created By or Last Modified By on all of it.
What AdaptClose writes covers each one in full.
Who can do what in AdaptClose
- The account owner connects, configures and disconnects Salesforce.
- Owners and managers link reps to Salesforce users.
- Everyone can search Salesforce and link customers when they record or upload a call.
- Owners and managers can also link and unlink customers from a customer's page.
Cut off access
- From AdaptClose: the owner clicks Disconnect on the Salesforce tile. See Disconnect.
- From Salesforce: revoke the app's access for the user who connected. That user can do it from their personal settings, and an admin can do it from Setup > Connected Apps OAuth Usage. Freezing or deactivating that user cuts it off too. AdaptClose stops writing on its next request. See If Salesforce access is revoked.
Our privacy policy covers the rest.
