What AdaptClose reads
These settings are on the Pull tab of the Salesforce settings page. None of them change anything in Salesforce.
Team matching
Automatically match members to Salesforce users. On by default.
When you first turn sync on, AdaptClose reads the org's active users once and links each AdaptClose member to a Salesforce user:
- By email, when the member's email matches the user's email, ignoring capital letters.
- By phone, when the last 10 digits of the member's phone match the user's Phone or Mobile.
Members who are already linked are left alone, and a Salesforce user is never linked to two members. Inactive users are never matched. AdaptClose reads up to 2,000 active users, in name order. In an org with more, members whose user falls past the first 2,000 aren't matched, so link them by hand. You get a notification saying how many members were linked and how many had no match. It runs once. It doesn't run again when you save settings later.
Off: nobody is linked automatically. Link each rep by hand.
Why a rep's link matters
A rep's link to a Salesforce user decides:
- Who owns the tasks. Tasks from that rep's calls are assigned to their Salesforce user. Without a link, they're assigned to the user who connected Salesforce. Notes have no assignee, so this doesn't change them.
- Whose records they search. See Customer lookups.
- Whether new customers become Salesforce records at all. AdaptClose only creates a Lead or Contact for a customer whose rep is linked, and assigns it to that rep's Salesforce user. See New customers.
Link or unlink a rep by hand
Two places, both for owners and managers:
- The rep's page in AdaptClose. In the Salesforce section, search for their Salesforce user by name or email and pick them. Unlink removes the link. Tasks already logged keep the owner they had.
- Add member. Add from Salesforce finds the user, fills in the new member's name and email from it, and links them once they're added.
Only active Salesforce users come up in the search. Open in Salesforce on a linked rep opens their Salesforce user record.
Customer lookups
Leads and Contacts. Both on by default. These pick which Salesforce records people can search when they link a customer.
On: people linking a customer can search Salesforce by name. That happens in three places:
- on the customer's page in the web app, in the Salesforce section, for owners and managers,
- when uploading a call in the web app,
- before recording in the AdaptClose app.
Searches start at three characters and match the start of a first or last name, so lop finds Dana Lopez. Each search shows up to 10 matching Contacts and Leads. Which records it covers:
- When the customer's rep is linked to a Salesforce user, only Contacts and Leads owned by that user.
- Otherwise, every Contact and Lead the user who connected Salesforce can see.
Picking a record links the AdaptClose customer to it. If the customer doesn't exist in AdaptClose yet, it's created from the record's name and email. If the customer has no email, it takes the record's. The customer also takes the record's type, Contact or Lead, which decides whether deal updates reach it. Linking writes nothing to Salesforce. Open in Salesforce on the customer's page opens the record in Lightning.
A Salesforce record links to one AdaptClose customer, and a customer links to one record. To move a link, unlink first.
Both off: nobody can search Salesforce. Customers already linked stay linked, and AdaptClose keeps writing to their records. Turning one off only hides that kind of record from search.
The open opportunity's amount
When you upload a call in the web app, or pick a customer before recording in the AdaptClose app, each Contact in the results also shows the amount of its open opportunity. Picking that Contact fills in the call's deal amount with it, so the rep doesn't type it twice:
- Which opportunity. The open opportunity with an amount where the Contact has a contact role, updated most recently.
- Leads never show an amount. A Lead has no opportunity.
- It's only a starting point. The amount can be changed before saving. It doesn't fill in for Partially closed, where the amount is the part actually sold, and it never replaces an amount someone already typed.
- In the app, picking a Contact with an amount makes the outcome step ask for the deal amount, whatever the outcome.
Searching on the customer's page doesn't read amounts.
